The First 60 Days
The system installs in four phases over two months. Here's exactly what happens and when.
Days 1–15: The Audit
Before anything gets built, I need to see where you're losing money. I personally review your last six months of intake data — response times, lead sources, conversion rates, where prospects stall and drop off. We sync your existing CRM and calendar with the dashboard. We establish your current cost per booked surgical case so there's a real baseline to measure against, not a guess.
By the end of week two, you'll see a clear picture of exactly where your funnel is leaking and how much those leaks are costing you per month in lost procedures.
Days 16–30: The Technical Build
This is where the infrastructure goes live. The AI engagement system activates — every new inquiry gets a response in under 60 seconds, automatically bridged to your front desk while intent is at its peak. The financial pre-qualification layer goes in, screening every lead for budget and financing eligibility before they touch your consultation calendar. Your landing pages get optimized to feed directly into the system so no data falls through the cracks.
By the end of month one, the technology is running. Leads are being engaged instantly, filtered for readiness, and routed to your team with full context. The speed and qualification problems are solved.
Days 31–45: Staff Training
The system catches and qualifies the leads. Your staff still has to close them. This phase is focused entirely on your front desk and patient coordinators. I train your team on converting high-value surgical inquiries into booked consultations — not generic phone skills, but the specific language and process for handling $15,000+ cases. Weekly call scoring starts. Every call gets reviewed against conversion benchmarks. Your team gets direct feedback on what they're doing well and where they're losing people.
By the end of this phase, your staff knows exactly how to handle every type of inquiry, and there's an accountability structure in place to make sure they keep doing it.
Days 46–60: Optimization
The system is fully operational. The leaks are closed. Your staff is trained and being scored. Now we shift from fixing problems to maximizing volume. I scale your acquisition channels with confidence because the backend can handle it. You receive your first full audit showing how many high-value opportunities were captured, qualified, and moved to the OR. We review the dashboard to forecast your surgical volume for the next quarter.
After Day 60
The build is done. The management is permanent. I continue weekly call scoring, dashboard oversight, lead-flow optimization, and staff accountability as long as the partnership runs. The system compounds — your team gets sharper, your data gets richer, and your ability to predict and control your surgical calendar improves every month.
